In this document, you will find information about the processing of your personal data by BeSecured s.r.o. You will also learn what rights you have in connection with such processing, in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (“Regulation”).

Who has access to your personal data?

Within the Company, your personal data is only accessible to persons who need it to fulfill the purposes described below—primarily the Company’s employees.

For the purposes set out below, your personal data may also in some cases be shared with third parties providing services to the Company (legal representatives; consultants; IT system providers where the personal data is stored, etc.). Some of your personal data may also be provided to public authorities where required by law or a public authority decision.

Up-to-date information on parties involved in processing your personal data may be provided upon request via the contact details listed in Section 1.

When and on what basis may your personal data be processed, for what purpose, and for how long will the Company store (process) it?

If you apply for a job at the Company

Categories of personal data processed: first name; last name; photograph; email address; telephone contact; any other personal data included in your CV

If you apply for a position at the Company, your personal data will be processed for the purpose of potential employment contract conclusion. Such data will be processed for the duration of the recruitment process. Based on the Company’s legitimate interest, your personal data may be processed for up to three months (six months in the case of a managerial position) after the recruitment process has ended, in case it is reopened.

If you provide explicit consent, your personal data may be stored (processed) for a longer period for future recruitment processes, for the duration specified in your consent. You may withdraw your consent to the processing of personal data at any time.

If you participate in (public) events organized by the Company or show interest in the Company’s marketing activities

Categories of personal data processed: first name; last name; likeness (photograph or audiovisual recording from the event); address; email address; telephone contact

If you attend (public) events organized by the Company, the Company may, based on its legitimate interest, process your likeness for the presentation of the event via its website, social media, professional journals, or other media outputs. If you object to the processing of your likeness on this basis, you may file an objection via the email address listed above.

Based on the Company’s legitimate interest, your personal data may also be processed to enable full participation in the event, to obtain your feedback, and to inform you of similar future marketing activities. Your personal data may also be processed for direct marketing purposes (e.g., newsletters, offers, competitions), but only on the basis of your explicit consent (e.g., through the Company’s website or at Company events). Such processing will last for the duration specified in your consent. You may withdraw your consent at any time.

If you are a contractual partner (supplier, customer, etc.) of the Company or act on behalf of such a partner

Individuals:
first name; last name; address; Company ID (VAT ID); date of birth; bank details; signature; email address; phone number; call recordings

Representatives of legal entities:
first name; last name; job title; signature; email address; phone number; call recordings

If you communicate with the Company as a (potential) contractual partner, or act on behalf of one, your personal data may be processed to conclude and properly perform a contract. Processing will last for the time necessary to conclude the contract, for the duration of its validity, and after its termination until all obligations are settled.

Based on the Company’s legitimate interest, your personal data may also be archived to maintain a business contact list and send you relevant business communications, for up to five (5) years after your last communication with the Company. On the same basis, your personal data may also be shared with an Affiliated Entity for inclusion in its business contacts list or for sending you relevant business communications.

Personal data contained in documents subject to statutory archiving obligations (e.g., tax documents) will be stored for the legally required period (e.g., VAT-related documents for 10 years).

If you visit the Company’s website or interact with its social media profile

Categories of personal data processed: cookies; personal data associated with a social media profile

If you interact with the Company’s page/profile on a social network, the Company may (depending on the case) become a joint controller of your personal data together with the operator of the social network, to the extent made available to the Company (e.g., anonymized visitor profiles and demographic statistics). Such processing is based on the Company’s legitimate interest for the purpose of operating the social media profile and planning future marketing activities.

When visiting the Company’s website, cookies may be used. These are small files containing information about the website or your device. For certain types of cookies, your personal data may be processed (e.g., device identification). For website traffic analytics, this processing is based on the Company’s legitimate interest. You can restrict cookies—and thus limit the processing of your personal data—via your browser settings or by using your browser’s incognito mode. Cookies intended for direct marketing will only be used with your consent, expressed through the Company’s website.

How does the Company process your personal data?

Your personal data is processed both in paper and electronic form. Access to your personal data is protected by organizational system measures (access restrictions for authorized persons) as well as physical and technical barriers. Paper documents will be shredded once the processing period ends; electronic data will be deleted when processing is completed. Recipients of personal data under Section 2 are contractually bound to ensure proper protection.

What rights do you have in connection with the processing of your personal data?

If you have any questions or comments regarding the processing of your personal data, please contact the Company using the details in Section 1. You may also use these contact details to exercise the rights listed below:

  1. Right to Information and Access – You have the right to request confirmation whether your personal data is being processed and, if so, information about: (i) the purpose of processing, (ii) categories of personal data, (iii) recipients, (iv) expected processing period, (v) your rights in relation to the Company, (vi) your right to lodge a complaint, (vii) whether automated processing occurs, and (viii) in case of data transfers outside the EEA, the safeguards applied.
  2. Right to Data Portability – If your personal data is processed for the performance of a contract, you have the right to request a structured, machine-readable copy and, if applicable, transfer to another controller.
  3. Right to Rectification – You have the right to ensure that your data is always current and accurate, and to request correction or supplementation of any personal data.
  4. Right to Restrict Processing – You have the right to request restriction of processing if: (i) you believe your data is inaccurate until verified; (ii) processing lacks a valid legal basis, but you do not wish deletion; (iii) the Company no longer needs your data, but you require it for legal claims; or (iv) you have exercised your right to object (see below).
  5. Right to Erasure – You have the right to request deletion of any personal data, except in cases under Article 17 of the Regulation, particularly if the data must still be processed for the original purpose of collection.
  6. Right to Object – If the Company processes your personal data based on its legitimate interest or in the public interest, you have the right to object, especially where data is used for direct marketing.
  7. Right to Withdraw Consent – If your data is processed on the basis of your consent, you have the right to withdraw it at any time. Withdrawal does not affect the lawfulness of processing prior to withdrawal.
  8. Right to Lodge a Complaint – You may lodge a complaint with the Office for Personal Data Protection (www.uoou.cz) if you believe your personal data rights are being violated.

These personal data processing principles are valid and effective as of 14 May 2025.
